Current situation of the registration process

We are receiving several questions regarding the status of the registration process and therefore thought we could give you an update.

First of all, we where completely overwhelmed with the amount of interested people. There was a rush of registrations after midnight – more than what the registration plugin could handle. At the same time we failed to communicate that only participants who were automatically approved would receive a confirmation by mail. In the end this led to a lot of people filling the form multiple times which created a large amount of duplicates.

We tried to clean up the database in the morning and had to merge universities for which duplicates existed. In some situations this created the situation where we had to un-approve participants as they were suddenly above the threshold of 5 persons per university. These people are now just above the university threshold and we hope that we can approve them again once the registration ends.

The graph below shows the amount of registrations (without duplicates) against a timeline:
igsm_registration_timelineFrom above you see that within the first three hours of the registration period there were already 110 people in our database – some approved automatically as they were within the limits of their university and some already on the waiting list. You can also see that shortly before 6 in the afternoon we basically already crossed the number of participants that we were planning with.

So – how are we dealing with the situation at the moment:

  • The registration window is still open. We realize that there might be students for which there is still open slots for their university. We continue to approve these students within their limits.
  • We stopped approving seniors for the moment. Our goal is to achieve a good mix between students and seniors. Depending on the development on the student side we might approve a few more seniors from the waiting list at a later stage.
  • We will close the registration window either at the planned end (31. January) or once all the slots have been filled with students who were approved within their limitations.
  • After 31. January we will fill the participant list with people from the waiting list until we have reached the overall limit of our meeting.
  • Should people fail to pay their participant fee in the give time window, we will replace them with other persons from the waiting list.

At the time of writing this article, there are 72 participants on the waiting list. This is way more than we will be able to accept and unfortunately it is therefore already clear that we can’t approve all of you.

To clarify things further we just sent out an email to everyone on the waiting list. If you haven’t received an email before, please check your inbox (or your spam folder) for a message.
